How to review and link incoming PPWR requests

This guide is for suppliers who have received a data request from a customer using Coolset for PPWR compliance.
Overview
When your customer sends you a data request, it will appear in your Requests tab. Each request asks you to provide packaging data for a specific product or packaging type in their catalog. Before you can fill in any data, you need to link their item to the corresponding item in your own catalog, this is called tracing.
Steps
1. Go to the Requests tab
Open the Requests tab in your workspace. You will see all incoming requests from your customers.
Requests are organised into two tabs:
Products — requests where your customer is asking for information at the product level (they do not yet know the packaging types)
Packaging types — requests where your customer is asking for data on a specific packaging type they have already identified
2. Open the request
Click on a request to open it in the side panel.
In the top-left corner of the side panel, you will see the product or packaging type your customer is requesting information for — this is what they have in their own catalog.
3. Trace to your catalog
To link the request to your own catalog, click Trace.
A selection screen will appear showing the items in your catalog. Select the product or packaging type that corresponds to what your customer is requesting.
Two rules apply:
Product requests can only be traced to a product in your catalog
Packaging type requests can only be traced to a packaging type in your catalog
If the right item does not exist in your catalog yet, add it first in the PPWR tab before returning to trace.
Frequently asked questions
I don't see any requests. What should I do? Check that your customer has sent a request and that you are logged into the correct workspace. If you were recently invited, make sure you accepted the invitation email. Contact your customer or reach out via the in-app chat if the request is still missing.
Can I trace one item to multiple customer requests? Yes. The same product or packaging type in your catalog can be linked to requests from multiple customers. You only need to complete the questionnaire once per packaging type.
The item my customer is requesting doesn't match anything I supply. What should I do? Contact your customer to clarify what they are asking for before tracing.
I traced the wrong item. Can I undo it? You can re-do the tracing and select a different item
